The Boardroom Edit
Because preparation is part of presence.
A board meeting begins long before you walk into the room.
It begins with reading the agenda one more time.
With knowing the numbers.
With understanding who will be at the table.
With anticipating the question nobody has asked yet.
And then there are the smaller things.
The notebook you reach for when an important thought comes up. The pen that doesn’t decide to stop working at precisely the wrong moment. The bag that somehow needs to carry your laptop, documents, charger, phone, business cards and everything else you didn’t think you would need.
Over the years, I’ve realised that professional presence isn’t created by one expensive accessory or one perfect outfit.
It is created by preparation.
So, if I were putting together a Boardroom Edit, these are the ten things I’d want within reach.
01 – A NOTEBOOK THAT MAKES YOU WANT TO THINK
We live in a world where almost everything can be typed, recorded, synced and stored.
Yet I still believe there is something different about writing an idea down.
A good notebook becomes a place for the things that don’t necessarily belong in the meeting minutes – the question you want to ask, the idea that suddenly occurs to you, the name you want to remember, or the thought you want to return to later.
For a board meeting, I prefer something understated and professional rather than overly decorative.
Look for:
- A clean, professional cover
- Good-quality paper
- A comfortable size for carrying
- Enough pages for repeated use
- A design that works equally well in a boardroom or conference

02 – A PEN YOU CAN TRUST
This sounds ridiculously simple.
Until you are sitting in an important meeting and your pen doesn’t work.
A good executive pen is one of those small purchases that can become part of your professional ritual.
You don’t necessarily need the most expensive pen in the room.
You need one that feels good in your hand, writes reliably and is easy to carry.
A beautiful pen is less about showing status and more about enjoying the act of writing.

03 – A STRUCTURED WORK BAG
Your handbag is carrying more than your belongings.
It is carrying your working day.
For meetings, I prefer structure over slouch – something that can hold the essentials without looking overwhelmed by them.
A good work bag should comfortably accommodate your laptop or tablet, documents, notebook, phone, charger and the inevitable collection of things that somehow find their way into your bag.
Look for:
Structure + functionality + understated elegance.
And don’t underestimate the value of compartments.
You will thank yourself later.

04 – A BUSINESS CARD HOLDER
Yes, we’re living in a digital world.
And yes, LinkedIn has made networking considerably easier.
But there are still moments when exchanging a physical business card feels more intentional.
Especially when you’re meeting someone for the first time.
A small card holder keeps the experience polished and, more importantly, prevents your business cards from becoming crumpled residents of the bottom of your handbag.
Choose something:
- Slim
- Professional
- Easy to access
- Durable
- Consistent with your personal style

05 – A RELIABLE POWER BANK
Nothing changes your relationship with a battery percentage faster than a full day of meetings.
Your phone becomes your:
calendar, camera, navigation system, communication device, boarding pass, contact book, payment method and occasionally your presentation backup.
A compact power bank is therefore less of a gadget and more of a professional contingency plan.
Look for:
- Compact size
- Reliable capacity
- Fast charging
- Multiple device compatibility
- A design that doesn’t add unnecessary bulk

06 – A PROFESSIONAL LAPTOP SLEEVE
Your laptop is probably carrying half your professional life.
Protect it accordingly.
A laptop sleeve doesn’t have to be flashy. In fact, I prefer the opposite.
A clean, well-fitted sleeve protects the device while keeping the overall look polished when you’re moving between meetings, hotels, airports and conference rooms.
Protection first. Aesthetics second. Bulk never.

07 – A SMALL DOCUMENT ORGANISER
There is a particular kind of chaos that happens when meeting documents, printouts, visiting cards and loose notes are all competing for space inside one bag.
A document organiser solves a surprisingly large problem.
Keep the things you need for the meeting together. Agenda, Reference documents, Notes, Business cards, Pens & Important papers etc
The goal isn’t to carry more.
It is to know exactly where everything is.

08 – A WATCH
A watch is one of those accessories that sits somewhere between function and personal style. And in a meeting, time matters. Not because you should constantly be checking the clock – but because respecting time is part of respecting the people around the table.
I don’t think a professional watch needs to announce itself. Sometimes the most elegant choice is the one that quietly works with everything.
Think: Timeless rather than trendy.

09 – SOMETHING TO READ
This is perhaps my favourite one.
I like having something to read with me – particularly when there is a few minutes before a meeting, during travel, or between sessions at a conference.
It could be a book on leadership, International relations, Strategy, Negotiation, Business or simply something completely unrelated to work.
Because some of the best ideas arrive when you’re not actively looking for them.
Carry one book that expands your thinking, not just one that fills your waiting time.

10 – YOUR OWN POINT OF VIEW
This one isn’t available on Amazon.
And it may be the most important thing on the list.
You can have the perfect notebook.
The beautiful bag.
The executive pen.
The latest laptop.
The most carefully organised documents.
But ultimately, a boardroom isn’t a fashion show or a test of how many accessories you can carry.
You are there because your perspective matters.
So prepare.
Read the material.
Ask better questions.
Listen carefully.
Disagree respectfully when necessary.
And when you have something meaningful to contribute, don’t be afraid to contribute it.
THE PERI-PICK
If I had to reduce this entire list to one principle, it would be:
Carry less. Prepare more.
The objects in your bag can make your day easier.
But preparation is what makes your presence valuable.
The best thing you can bring into any important room is clarity about why you are there, curiosity about what you can learn, and the confidence to contribute when your perspective matters.
Everything else is just there to help you do that a little better.
WHAT’S IN YOUR BOARDROOM BAG?
Everyone develops their own essentials over time.
Some carry a particular pen.
Some carry a lucky notebook.
Some have a charger for everything.
Some carry three pairs of glasses and somehow still can’t find the one they need.
And some have perfected the art of carrying almost nothing.
What’s the one thing you never walk into an important meeting without?
